UMass Amherst IT's Travel Laptop Program makes laptops available to full-time faculty and staff for short-term use for travel.

Service Description

The Laptop Lending Program is a convenient service for full-time faculty and staff, offering laptop lending for short-term use during domestic or international travel and while a university-owned device is undergoing maintenance or repair. Students can rent computers through the Library's Laptop Lending Service.

Features & Options

  • Access on the Go: Ensures availability of a reliable device for attending conferences or conducting research.
  • Domestic and International Travel: Available for work-related travel.
  • Short-Term Replacement: Provides a temporary replacement when the primary university device is unavailable, minimizing downtime for faculty and staff.

Laptop Models

  • Devices: Windows and Apple Laptops (subject to availability).
  • Accessories: Each laptop comes with a travel case, charger, and a travel power converter (available upon request).
  • Software: Availability is based on each individual request. For domestic and international travel, a detailed review is conducted based on the travel destination and security requirements. All devices are configured to meet the University Requirements for Foundational Controls.

Note: You cannot modify system settings or install new software. Laptops are configured for email, internet, and specified software access to comply with US Federal export regulations and university security policies. They are intended to balance security and convenience and are not meant to replace your regular, daily-use laptop.

Eligibility

Loaner laptops are available to full-time UMass faculty and staff; standard requests can be made to keep equipment for up to two weeks. Exceptions may be made under special circumstances, subject to availability and IT discretion. Laptops are not available for extended leave, sabbaticals, or as departmental replacements. University travelers must obtain a registration travel number before requesting a loaner device. For more information, visit Travel Registration.

For international travel, complete the International Pre-Travel Export Control and Risk Form and attach it to the Pre-Travel Authorization Request in Concur.

How to Obtain

Request laptop at least two weeks before your departure. To check availability and reserve a laptop, fill out the Request Form, including the registration travel number. If approved, you will receive confirmation with pickup details.

Pricing

This service is offered free of charge. However, faculty, staff, and their department are accountable for any damage or loss, including cables and peripherals. Departmental approval and valid SpeedType information are required.
