Advising Center 

 

View Advisees 

  • My Advisees
    • Under the My Advisees tab, you can view a list of all your advisees. Click View Student Details to view more information on a student. This will take you to the Student Center tab. 

 

  • Student Center
    • To view a student’s schedule, Click My Class Schedule and choose the desired term. You can view all the classes they are enrolled in, along with additional information about them.  

Click on the calendar icon under Deadlines to view important dates about dropping, canceling, and withdrawing from that class. 

You can also view dropped and waitlisted classes by choosing their respective checkboxes under Class Schedule Filter Options.

    • Click Shopping Cart and select a term to view classes that the student has currently added to their shopping cart.
    • Click Schedule Builder to view the student’s schedule builder and the classes they have added to it.  
    • Use the Other Academic Information dropdown to view more information on the student’s academics, including the Academic Requirements Report without classes in shopping cart, Course Enrollment Planning Report with classes in shopping cart, Course History, Exam Schedule, Grades, and the unofficial transcript.

  • Academics
    • Under the Academics tab, you can view more about the student’s academic status. Here, you can edit the student’s Program Data and Term Data by clicking their respective buttons.

 

  • Test/Xfer/Trscpt
    • Under this tab, you can view the student’s Transfer and Test credits, such as AP, SAT, IB, and more. You can also click View Unofficial Transcript to view the student’s unofficial transcript as a pdf.

 

  • Advising Notes
    • Here, you can view the student’s previous advising notes.
    • Click Compose Email to email the selected student.
    • After meeting with your advisee, it is recommended to add advising notes to keep a record of your meetings. To add advising notes, click Add New Advising Note.
      • Choose the meeting type, what you discussed about, and what department you referred them to, if applicable. In the comments box, enter a brief summary of your meeting. 
      • If you would like to notify the department’s dean about the note, use the Attn. Acad. Dean search box to add a dean. 
      • Finally, click Save.
    • Click View Documents to view any imaged advising notes.  

 

Read Advising Notes

Use this tab if you are working with a student that is not your advisee. Search for the desired student and you will see a list of advising notes associated with them. Click a note to view more details about the note.

 

Add/Update Advising Notes

If you want to add notes to students, whether they are your assigned advisee or not, use this tab to search for them and click Add to add a note.

 

What-If/Advisement Reports

This tab allows you to view how changing the student’s academic plan, including changing their major or adding another major, would change their academic requirements.

To find an existing report, enter the student’s ID and click search. To add a new report:

  1. Click the Add a New Value button at the top right.
  2. Enter the student’s ID, set the Academic Institution as UMAMH, and Report Type as WHIF. Click Add.
  3. Under the What-If Information subheading, check the Use Career Simulation checkbox and click View/Change the Career Simulation.
  4. Click the Copy Current Information button to fill all tabs with the student’s current academic plan.
  5. To see how the student’s requirements would change if the student changed their career plan (Undergrad, Grad, Non-Credit, etc.), click the plus sign in the Plan What-If Data section to add a new record.
  6. To see how the student’s requirements would change if the student wanted to change their major, enter the Requirement Term and the new major in the Academic Plan field.
    1. Click the Plus sign to add a new major or minor.
    2. If the student has any subplans, add them accordingly under the Sub-Plan What-If Data section.
  7. Once you finish adding all plans, click OK at the bottom of the page, and then click Process Request.
  8. This will generate an ARR report that details the requirements if the student intends to change their academic plan accordingly.

If the student is simply looking to see if a course would satisfy their current requirements: 

  1. Click Add a What-If Course.
  2. Fill in the fields and click Execute the Search.
  3. Select the desired course by clicking the checkbox next to it.
  4. Enter a what-if grade and number of credits and click Process Request.
  5. This will generate an ARR report with the new course added and what requirement it fulfills.

View Imaged Advising Notes

You can search for a specific student to view any imaged advising notes.

 

Sdnt Success Navigate

This tab takes you to the Navigate website.

 

Advisee/Dept Flashcards

You can view your advisees, or students from your department plans which you can select as desired, in flashcard form. Use this tool to help learn the names and faces of your students. Photos will appear in random order unless you click Alphabetize. 

 

New Sdnt Orientation & Trans 

 

FYS Open to All Students 

Select a term and click Run Query. This will download a csv file with the list of first year seminars available for that semester, along with more information on them, including class number, description, enrollment capacity, and more. 

 

Manage Student Data 

 

Manage Service Indicators 

“Service indicators” are often referred to as a “hold” in SPIRE, which blocks the student’s ability to register for courses or progress as a student at UMass until it is removed. Under this tab, search for a desired student to view their holds if they have any. Click Add Service Indicator to add a hold to a student. Enter the required fields and click the magnifying glass icon next to any of the fields to search for the different options available. Once you fill out all the required fields, click Apply, and this will add the hold to the student’s account. 

 

Student Groups 

Student Groups are used to track student’s affiliations with various groups, including residential academic and talent advancement programs (RAP, TAP), etc.

 

Term Activation 

The Term Activation tab has four subtabs. For each of the four tabs, use the inner right and left arrow buttons to flip through the different terms. The most recent term will be shown first.

  • Term Activation
    • This tab gives further detail on the student’s academic information for each of the terms they were enrolled at UMass for. 
  • Enrollment Limit
    • Enrollment Limit displays information on the student’s credit load, showing if there was an adjustment made to the default full 19 credit total. 
  • Student Session
    • This tab shows what semesters the student was active in, including winter and summer sessions. 
  • Terms in Residence
    • This tab shows what terms the student was in residence for, including winter and summer sessions.
  • External Study
    • This tab can be used to check whether the student is studying or has studied abroad. 

 

Last Date of Attendance 

Search for a desired student to see a list of all the classes the student has taken so far. Click on any of them to see more information on their grade in the class, including the last date of attendance if they received an F or never attended class. 

 

Academic Test Results 

Search for a desired student to view details on all their Academic Test Results, including their AP scores, SAT scores, and others.
