Microsoft Teams Calls Quick Start Guide


Some settings described in the quick start guide are not available until after your campus number has moved to Teams.

Get Started with Microsoft Teams Calls
  1. Get the Microsoft Teams app for your desktop and/or mobile device from the Microsoft Teams website, linked here.
    • For University-owned computers, reach out to the Information Technology (IT) support professional in your department.
  2. Log in to Microsoft Teams using your UMass Amherst email (i.e.: NetID@umass.edu) and password. You will be prompted for two-step login.
Call a contact

Make calls to people within the University or other external Teams users.

  1. Starting in the Teams App, select the Calls icon from the left menu.
  2. Under the Calls section, search for and select your contact(s).
  3. Choose either Audio Call or Video Call, and seamlessly transition between the two.
  4. Click on the call icon next to the contact of the person you want to reach.

Dial a number

Local and National Numbers

You can dial a 10-digit number (i.e., 413-555-0000) to reach callers within the University system, as well as outside of it. You do not have to dial 1 in front of calls within the United States.

  1. In the left navigation bar, click the Calls icon.
  2. Click Dial a number.
  3. Enter the number of the person you want to reach by using the dial pad.
  4. Then press Call.

International Numbers

  1. To make an international call, start by adding “011” to the dial string for the international number you wish to call
  2. Enter the number of the person you want to reach by using the dial pad.
  3. Then press Call.
Emergency and 911 Calling

Teams Calls placed to 911 may provide less accurate location information.
Therefore, it is not recommended that callers use Teams for 911 calls unless there are no other alternatives.

If a 911 call is placed using Teams, the caller should state their actual location to the operator whenever possible.

Receive a call

The mobile and desktop apps are necessary to use these features.

  1. A notification will appear on your Teams App.
  2. Click the option to accept, deny, or forward the call.
    • Select Accept with audio to answer with audio only.
    • Select Accept with video to answer with video and audio.
    • Select Decline Call

Note: If you have enabled Do Not Disturb mode, you will not receive the notification.

Put Call on Hold

After a call is received, it can also be put on hold.

  1. Click on More (...)
  2. Select Hold.
    • Everyone in the call will be notified that they've been put on hold.
  3. Continue your call by clicking Resume.

How to Transfer Calls

Transfer your one-on-one calls in Teams.

  1. When you're in a call, select More (...)
  2. Select Transfer in your call controls.
  3. Start typing the name of the person you want to transfer the call to and select them when they appear.
  4. Select Transfer to complete the transfer or the dropdown arrow to choose one of the following options:
    • Work to transfer the call to their Teams number
    • Work voicemail to send it straight to their voicemail
    • Any other numbers (like their mobile number) they added to their account
Consult then transfer

You may want to check in with someone before you transfer a call.

  1. When you're in a call, select More (...)
  2. Select Consult then transfer.
  3. Under Choose a person to consult, start typing the name of the person you want to reach and select them when they appear.
  4. Consult with them by calling or using chat.
  5. When you're ready, hit Transfer.
How to Forward Calls
  1. Click on More (...)
  2. Navigate to Settings.
  3. Under Settings, select Calls.
  4. From the Calls menu, you can choose additional phones to ring or to forward all your calls to your cell phone.
    • You will need to add the new number the first time you use this feature. It will remember your previous entries.
    • Similar options are available between Calls ring me and Forward my calls.
  5. If you were ringing multiple phones at the same time and no longer want to use this feature:
    • Ensure Calls ring me is selected
    • Choose No one else from the dropdown menu to the right of Also ring.

How to Delegate Calls

Microsoft Teams allows you to assign someone as a delegate to make and receive calls on your behalf.

  1. In the Teams desktop app, select More (...) next to your profile picture
  2. Click Settings.
  3. Select General and scroll down.
  4. Click 'Manage delegates' under Delegation.
  5. Click 'Your delegates' and type in the user's name in the Add a delegate box.
  6. Modify the permissions settings as needed and click Add.
  7. Your delegate will receive a notification about their new status
  8. Your new delegate will now appear in your delegates list, and this list will be a default selection in your call forwarding and simultaneous ring options.

How to Block Calls
  1. Navigate to the Calls tab.
  2. From your call history, hover on the number you wish to block
  3. Click the More (...) to bring up the submenu.
  4. Select Block.

You can also manage your blocked contact settings within the Privacy tab of the Settings menu.

Note: It is not possible to block internal contacts.

How To Record Your Greeting in the Teams App

  1. Click More (...) to the left of your Teams profile photo or initials in the top right of the menu bar.
  2. Navigate to Settings.
  3. Select Calls and Configure voicemail.
  4. Click Record a greeting.
    • After a few seconds, your voicemail will be dialed, and a small window will appear with your initials or profile picture.
    • The window will maximize a few seconds later.
  5. Click More (...) and then the Keypad to bring up the keypad.
  6. Follow the prompts by clicking the appropriate option on the keypad to listen to your greeting, change your greeting, etc.

Text-to-speech customization

There is the option of replacing the default voicemail greeting with your own text-to-speech greeting for personal and out-of-office greetings.

  1. Enter your greeting in the appropriate field.
  2. Choose when you would like Teams to play your custom out-of-office greeting.

Listen to Voicemail in Microsoft Teams

To listen to voicemail in Microsoft Teams on Desktop:

  1. On the left side menu, click Calls.
  2. Click Voicemail.
  3. Click a message in your list and use the playback controls to listen to the recording or read a transcript (if it is available).

To listen to voicemail in Microsoft Teams on Mobile

  1. On the lower right corner, click More (...)
  2. When the pop-up reveals several options, click Calls
  3. Click on the cassette shape in the upper right corner of the app
  4. Click a message in your list and use the playback controls to listen to the recording or read a transcript (if it is available).

Listen to Voicemail in Outlook

When you receive a voicemail, the message appears in your Outlook inbox. However, you first need to access your voicemail settings in Outlook before you can reach the voicemail you receive.

Once you’ve accessed those settings, you can do the following:

  1. To listen to your voicemail in Outlook, go to your Outlook Inbox.
  2. Open any email with Voicemail in the subject.
  3. Click the blue play button to listen to a message.
