Faculty and departmental staff, find your degree candidates and indicate whether they are cleared for graduation or not. Be careful with FERPA-protected information!
Access
Academic Records & Class Rosters (SPIRE A) is a prerequisite for Graduation Tracking & Clearance access. In addition, training for Graduation Tracking & Clearance is also required.
To request training and access to Graduation Tracking & Clearance, and SPIRE A (Academic Records) if you don't already have it, please log in to SPIRE and Navigate to the following page:
Profile tile > Access & Privacy > SPIRE Access Request
Please complete the form and select the following:
- Academic Records & Class Rosters for Staff, if you need SPIRE A.
- Graduation Tracking & Clearance
Timing
- The Registrar's Office will email you the beginning and end dates for reviewing requirements for the upcoming degree period.
- Each degree candidate's Graduation Status is initially set to Department To Be Reviewed, with a Graduation Note of SMTBR (Secondary Major To Be Reviewed) for second majors.
- After grades are posted in SPIRE and before the graduation clearance deadline:
- Check grades and any outstanding requirements, then clear students for graduation - or indicate that they will not be graduating yet.
- Be sure to check for dual degrees. The Registrar's Office will add a second career for these students, with a primary plan that was once a secondary major. Additional review by departments may be required.
- Students' Expected Grad Terms may change throughout the semester. Query your degree candidates often!
Find Your Degree Candidate's Graduation Tracking Page:
Find Primary Majors
- Navigate to Navigator icon > Records and Enrollment > Graduation > Grad Tracking Queries.
- Click Dept: Primary Major Grad List.
- Enter the Expected Grad Term (enter both fall and winter terms for the February degree period) and up to three primary majors (plans).
- Click View Results.
- To view a student's Graduation Tracking page, click the 8-digit SPIRE ID.
Find Secondary Majors
- Navigate to Navigator icon > Records and Enrollment > Graduation > Grad Tracking Queries.
- Click Dept: Second Major Grad List.
- Enter the Expected Grad Term (enter both fall and winter terms for the February degree period) and up to three primary majors (plans).
- Click View Results.
- To view a student's Graduation Tracking page, click the 8-digit SPIRE ID.
Find an Individual Degree Candidate
Go to Navigator icon > Records and Enrollment > Graduation > Graduation Tracking, enter the student's name or 8-digit SPIRE ID. Click Search.
Clear Primary Majors
On the Graduation Tracking page (see above) for a degree candidate:
- Select the Update Graduation Status checkbox. Note: This feature is used to clear primary majors only.
- Choose Department Clearance from the New Graduation Review Status dropdown list.
- Click Save at the bottom of the page.
If the student will not be graduating at this time, choose Department Not Cleared. Notify the student as soon as possible.
Clear Secondary Majors
On the Graduation Tracking page (see above):
Important Note: Do NOT use the Update Graduation Status feature at the top of the page to clear secondary majors!
- Under Graduation Notes, click a plus sign (+) to add a new note.
- In the smaller field, enter SMCLR (Secondary Major Cleared).
- In the larger field, enter additional notes if you wish. We recommend entering the subject or plan of the second major.
If the student will not be graduating at this time, choose SMNCL (Secondary Major Not Cleared). Notify the student as soon as possible.
Additional Features
The Graduation Tracking page includes features to help you review students' eligibility for graduation, including:
- Click View ARR to review a student's Academic Requirements Report.
- Click View Transcript to view the unofficial transcript.
- The Academic Plan section displays majors, minors, honors, etc.
- The Statistics section shows enrollment GPA, combined GPA, etc.
- Find classes and grades in the Enrollment section.
- See Course (Transfer) Credits and Test Credits, if any.
- Click Email Student to contact the student, especially if requirements have not been met.
