This will be a series of short videos which demonstrate additional access in SPIRE that will enable staff in dean’s office to:

●      Override and adjust a student’s credit limit

●       Search and view student enrollment requests

●       Search and view a student’s history of grade changes and incompletes

●       View Repeat Codes and Comments

 

And several activities will be included as part of this training.

Part 1: Change a Student’s Credit/Unit Limit

Undergraduate and non-degree students -- whose overload petition is approved -- can have their credit limit adjusted by staff in the Academic Deans’ Offices.  To do this, navigate to Academic Records > Student Term Information > Term Activation, and do a search for the student. Once found, and the page refreshes, select the second tab: “Enrollment Limit”

To change the student’s credit limit:

●     Select the Override Unit Limits check box, if it’s not already selected.

      ○       The page will refresh;

      ○       standard values will appear in the Max Total Units, Max No GPA Units, Max Audit Units, and Max Wait List Units fields.

●     In the Max Total Units, change the number of credits as appropriate. 

●     Click SAVE at the bottom of the page.

The student can now enroll for the approved number of credits listed on this page.

Important notes

On the Enrollment Limit Tab, do not make any modifications other than the ones described above:

●             For example, never change the Approved Academic Load

●             And never update any other fields, for example the “Max No GPA units.”

 

If the Override Unit Limits check box is already selected when you first access the Enrollment Limit tab, this means that:

 ●            Another Staff user has already updated his/her record.

 - or -

 ●            The student’s primary major has a non-standard credit limit (above or below 18 credits).
